Invoicing rule conditions
Last updated
Conditions decide when a rule applies. Each condition is an entity, a field, an operator, and a value. Groups combine those conditions with Match all or Match any.
Open a rule from Manage profiles and build the tree under Conditions. Charge types are covered in Invoicing fees and charge types.
Groups
The group header reads Match all of the following or Match any of the following.
- all — every condition in the group must be true.
- any — one condition in the group is enough.
You can nest a group inside another group. A typical contract is: match all of (carrier is DHL and destination country is NL), or a nested group for a second carrier.
A rule with an empty condition tree matches every event in its scope.
Operators
The operator list follows the field. Text fields offer contains and starts-with. Numbers offer greater-than and less-than. Dropdowns offer equals and in-list.
| Operator | Use |
|---|---|
| Equals / Not equals | One value |
| Greater than / Greater or equal / Less than / Less or equal | Numbers, dates, and times |
| In list / Not in list | Several values. On a delivery load carrier, In list sums the pallet counts of the selected types. |
| Contains / Starts with / Ends with | Part of a text value, such as a SKU prefix |
| Is empty / Is not empty | The field has no value, or it does |
| Is under (incl. subsections) / Is not under (excl. subsections) | A stock section and the sections beneath it. Storage rules only. |
What each category is checked against
The cost category limits both the event and the entities you can filter on.
| Cost category | Checked once per | Entities you can use |
|---|---|---|
| Shipment costs | Outgoing shipment label | Order, Order product, Shipment, Product, Seller, Receiver, Package, Shipment method, Warehouse |
| Pick & Pack | Outgoing shipment label | Same as Shipment costs |
| Storage | Occupied stock section, per day | Storage, Seller |
| Return processing | Processed return | Returns, Order product, Product, Seller |
| Inbound / Outbound processing | Inbound or outbound delivery | Delivery, Product, Seller |
| Other (per invoice export) | Seller, when the invoice is generated | Seller |
A field that belongs to another entity stays hidden. You cannot filter a storage rule by carrier, or a per-invoice fee by SKU.
Useful fields that are easy to misread:
- Shipment → Width, Height, Length come from the packaging chosen on the label. Weight (kg) is the contents weight, or the manual order weight.
- Package → Max weight, Max. width, Max. height, Max. length are the catalog limits of that packaging, not the measured contents.
- Storage → Stock section supports Is under, so one condition covers a parent section and its children.
- Delivery → Direction is Inbound or Outbound. Delivery → Type is the route, such as Seller → FC or FC → Amazon.
- Delivery → Load carrier and Storage → Load carrier appear after you add at least one load carrier under Settings > WMS Configuration > Load carriers.
Priority
Rules are numbered by priority. Lower numbers are evaluated first. Drag a row to reorder when the rules list has no filters active. Leave gaps (10, 20, 30) so you can insert a rule later.
For Pick & Pack, Shipment costs, Inbound / Outbound processing, and Return processing, every matching rule is charged. Priority only sets the order they are evaluated in. Two pick rules that both match will both appear on the invoice.
For Storage, the first matching rule sets the euro-per-day rate for that section on that day. Later storage rules are skipped for that day. See Billing storage costs.
Bundles
Pick quantities follow what is actually picked.
- Per item, Per SKU, unique SKU count, and pick weight expand a bundle into its child products. Quantity is order quantity × the quantity of that child in the bundle.
- A condition on Product → SKU, EAN, or Bundle product still sees the bundle parent on the order line. A SKU-specific fee for the bundle SKU is not multiplied by every child.
Extra shipment labels
A second or third label on the same order (an extra shipment) can inherit packaging and label price from the first label while the invoice is calculated. A Pick & Pack rule that filters on packaging can therefore match those extra labels as well.
Test before you invoice
In the rules list, click Test profile. Choose a date range and, if you want, one seller, order, or shipment. The result lists matched fees and shipments that received no Shipment costs fee. It does not create an invoice. Verified surcharges are left out of the test; they are included on a real export when that profile toggle is on.
