Invoicing fees and charge types

Last updated

Each invoicing rule charges one kind of work. You pick a cost category, then one or more fees on that rule. The charge types in the fee form change with the category.

This guide is the reference for those choices. To create the profile and the rule, start with Setting up billing profiles and rules.

Costs that come from the profile, not from a rule

These amounts are profile toggles. They are not cost categories you can select on a rule.

Toggle What is billed
Include manufacturing costs on invoice The per-unit manufacturing cost set on each product, for products that shipped
Include packaging costs on invoice The packaging catalog price of the box or envelope on the shipment label, multiplied by the number of labels (parcels)
Include tasks on invoice Completed warehouse tasks in the invoice period
Include verified surcharges on invoice Carrier surcharges you have already validated

Leave Include packaging costs on invoice off when a Pick & Pack or Other rule already charges for the box. Both would appear on the invoice.

Manufacturing costs are set per product under Warehouse > All products. They are not a rule category.

Cost categories on a rule

Cost category Charged for
Shipment costs Outgoing shipment labels — carrier price, a markup, or a flat shipping fee
Pick & Pack Handling of outgoing shipments
Storage Occupied stock, per section per day. See Billing storage costs.
Inbound / Outbound processing Inbound and outbound deliveries. See Billing inbound, returns, and load carriers.
Return processing Processed returns
Other Contract fees that do not fit the categories above, including a fee charged once per invoice

Validated carrier surcharges are not a category on the rule. They come from Include verified surcharges on invoice after you approve them under Administration > Surcharges.

A rule can hold more than one fee. Every fee on the rule uses the same conditions. Use a second rule when the conditions differ.

Charge types by category

Cost category Charge types
Shipment costs Fixed, Per shipment, Per parcel, Per kg, Pass through carrier rate per shipment, Percentage, Tiered
Pick & Pack Fixed, Per order, Per shipment, Per parcel, Per item, Per SKU, Tiered
Storage Per section per day, Tiered
Inbound / Outbound processing Fixed, Per pallet, Per box, Per item, Per SKU, Tiered
Return processing Fixed, Per return, Per item, Per SKU, Tiered
Other Every charge type, including Per invoice export, Per stock location, and Per storage space m3

On a storage rule, Fixed is labeled Per section per day.

Charge type How the amount is applied
Fixed The amount once per matching event. On storage, once per occupied section per day.
Per order Amount × 1 for that order
Per shipment Amount × 1 for that shipment label
Per parcel Amount × the number of labels on the shipment
Per item Amount × item quantity. Bundles count the child products that are picked.
Per SKU Amount × the number of distinct SKUs. Bundles count the child SKUs.
Per kg Amount × shipment weight in kilograms
Per pallet Amount × pallet count on the delivery. A load-carrier filter uses that type’s count. See load carriers.
Per box Amount × box count on the delivery
Per return Amount × 1 for that processed return
Per stock location Amount × stock locations on the event (available on Other)
Per storage space m3 Amount × cubic meters (available on Other)
Per invoice export The amount once per seller when the invoice is generated. Use cost category Other and seller conditions only.
Percentage A percent of a base. See below.
Tiered A rate from From / To brackets. See below.
Pass through carrier rate per shipment The shipment label price. The fee is skipped when that price is missing or zero.

Percentage

A percentage fee asks Percentage of:

Base Meaning
Order total The order’s total price
Order subtotal The order’s subtotal
Shipping label price The price stored on the shipment label

Order total and Order subtotal are converted from the order currency into the fee currency before the percentage is applied. The invoice then shows amounts in your center display currency.

The fee is skipped when the base is missing or zero. A 10% markup is 10, not 110. If a pass-through rule and a percentage-of-label-price rule both match the same shipment, both amounts are added.

Tiered fees

Tiered fees use From and To brackets. Choose what those numbers measure:

Basis Typical use
Total weight (kg) Starting value for a new tiered fee
Item quantity Piece-count brackets
Unique SKU count Brackets on how many SKUs are in the order
Order count Brackets on the number of orders
Parcel count Brackets on the number of labels
Storage volume (m³) Storage rules. The matching tier is charged once per section per day.
Storage volume (cm³) Same as m³, measured in cubic centimeters

The field is labeled Layered on. A new tiered fee starts on Total weight (kg). Change it when the brackets should follow item quantity, SKU count, parcels, or storage volume. For a storage rule, set it to Storage volume (m³) or Storage volume (cm³).

Two modes:

  • Flat amount per bracket — the amount of the first bracket that contains the value is charged once. A shipment of 12 kg with a bracket 10–20 kg at €4.50 is charged €4.50, not €4.50 × 12.
  • Per unit (marginal) — each unit is charged at the rate of the bracket it falls in, and the brackets add up.

In Flat amount per bracket, a value above the highest To is not charged. Leave the last To empty when the top bracket should stay open.

Per invoice export

Per invoice export runs once per seller when you generate an invoice, not once per order. Put it on cost category Other. Conditions can only use Seller — for example a monthly account fee for one seller, or a fee for every seller when you leave conditions empty.

Use this for monthly minimums and other contract fees that are not tied to a shipment, delivery, or return.

Worked example

Profile Standard fulfillment, for a contract that is €3.95 per order, €0.85 per extra picked item, and the exact label price:

Priority Name Category Charge type Amount
10 Pick & pack Pick & Pack Per order 3.95
20 Extra item Pick & Pack Per item 0.85
30 Labels Shipment costs Pass through carrier rate per shipment —

An order with 4 picked items and a label of €6.40 becomes €3.95 + €3.40 + €6.40. The per-item line uses the picked quantity, including bundle children.

To charge 10% on top of the label instead of the exact price, replace the pass-through rule with Percentage, 10, Percentage of: Shipping label price. Keep both rules only when the contract really is the label price plus a markup.

Run Test profile on a date range before the first export. See Creating invoice exports.
